2/ General Terms
These terms and conditions outline your contract with Mindworks Escape Rooms Limited (the company). Please read these carefully as they govern the relationship between us and explain our mutual rights and obligations.
Nothing in these terms and conditions is intended to affect your statutory rights.
Any disputes arising from this contract shall be governed by English law and be settled in the English courts.
The company reserves the right to amend or vary these terms and conditions from time to time at its sole discretion without prior notice.
The company’s privacy policy is shown as a separate document at the end of these terms and conditions.
3/ Making a Booking and Payment
The person making a booking (the booker) with the company must read and accept these terms and conditions for themselves and on behalf of their entire team. They must ensure they have the authority to carry out the booking under these terms for everyone in their team.
The booker must be over 18 years of age.
All information given to the company must be true and accurate. The booker is responsible for its accuracy.
The booker is responsible for payment of the total booking price based on the prices stated on the company’s website. The cost for each group is based on the number of players in a team. Full payment is required at the time of booking.
Bookings made via the company’s website are completed by the sending of a confirmation email to the booker. If the booker does not receive this email, the booking has not been completed and is not valid. This email must be bought with the booker on the day of the booking.
If the booker wishes to add players to their booking, they must contact us and check there is space in the game for the extra players. The cost of any additional players must be paid before the game starts.
Up to 48 hours before your booking if you wish to reduce the number of players in your booking please contact us. As long as the new number of players does not go below the minimum for the escape room, we will provide a refund based on the difference between what you have paid and the price for the new number of game players. We will also deduct an administration charge of £10.00 from your refund.
The company are not able to provide any refund for reduction in game players if the request is made less than 48 hours before the booking.
Other than the changes to team size detailed above, the company will not give any refunds for escape room game bookings. This is because a booking for an escape room game is deemed a leisure activity which has been booked for a specific date and time.
At the discretion of the management, the company will consider re-scheduling a booking if we are given 7 days or more notice. Any re-scheduling will only be confirmed when the booker has received an updated confirmation email. Rescheduling may incur an additional £10.00 administration charge.
The company will give a full refund for up to 14 days after purchase on any Gift Vouchers purchased providing they have not been converted into an escape room booking. The company will also give a full refund on any sundries (such as escape rooms in a box) providing they have not been opened.
The booker cannot sell their booking to a third party at a profit. If the booker wishes to transfer their booking to a third party they must contact the company before the start of their booking. The company is entitled to deny this request.
4/ Attending an Escape Room Game Session
Teams must arrive at the company’s escape room at the time shown on their booking. If a team arrives up to 25 minutes late we will reduce the time of the game. If the team is more than 25 minutes late we will consider this a non-attendance. In this case, all booking fees are not refundable and the booking cannot be re-scheduled.
To be admitted you must confirm the full name of the booker and you may be asked to confirm phone number and email address the booking confirmation was sent to.
There is no set lower age limit to play our escape rooms, although some of the puzzles may be too challenging for younger players under 10.
Guests under the age of 18 must have a responsible adult as part of their team who will accept responsibility for the welfare of all those members of their group who are aged under 18.
Whilst guests are on our premises, they must ensure they follow our rules and cooperate with our employees. The company will not tolerate any rule breaking or aggressive behaviour towards its employees. Any such behaviour or rule breaking may result in refusal of entry, game termination or removal from our premises. In these circumstances, no compensation will be given. Be nice!
The company is entitled to charge the guests for any damages which are intentional and/or caused by misuse of props. The booker will be responsible for their group and takes full responsibility of any damages and will be charged accordingly. The company reserves the right to use CCTV recordings as evidence to support the case for damages to be paid.
No photos, videos or audio recordings can be made by guests inside the company’s premises.
No food and drink can be brought into the escape room.
The company expects visitors not to disclose any company intellectual property contained in the escape room puzzles to any third party. Also guests are expected not to disclose game details to third parties which would not be known to people who have not played the game.
5/ Accessibility
The company’s escape room “Smuggler’s Ruin” has been designed to be as accessible as possible for guests with a disability. We have successfully tested the game with wheelchair users.
Trapped for Cash and Mission Berlin are not as accessible.
If the booker is making a booking for a team with additional needs, they should advise the company prior to making the booking so that we can endeavour to see if we can support your team to play the game.
6/ Health and Safety
Before each escape room game all guests are shown a short video or a verbal welcome explaining the rules of the game and health and safety requirements. Each guest will then participate in the event at their own risk. The company is not liable for any damages caused by not following the rules explained before the game
The company’s escape rooms has a comprehensive fire detection and sprinkler systems. Guests must not touch any part of this system.
All fire exits signs are clearly marked and emergency lighting provided. In the event of a fire or other emergency, for their own safety guests must follow instructions being given to them by the games master running their game.
Any guests who arrive for a game under the influence of alcohol or drugs will not be admitted and their game will count as a non-attendance. In this case, all booking fees are not refundable and the booking cannot be re-scheduled.
By making the booking with the company, the booker and all members of their team agree to be bound by these terms and conditions. The company or its employees shall not be liable for any death, personal injury, loss or damage caused while in the company’s premises.
7/ Photos
When your team have completed your escape we will ask you if we can take a photo of your team. We may then share your team’s success photo on Facebook, Instagram, TripAdvisor and/or Twitter. We only do it after obtaining your verbal agreement and if you refuse we will either not take a photo or send it directly to you and not put it on social media. Photos made of your team are deleted from the camera used after one month.
If at any point in the future you would like your photo to be removed from our social media listings, you can ask us to delete it. You will need to send us the link to the relevant photo and we will then delete it as soon as possible and confirm with you when it has been done.
We will also email you after your visit to let you know if your team photo has been posted on social media – typically Facebook, Instagram, TripAdvisor and/or Twitter – and to ask you for a review, e.g. on TripAdvisor.
8/ Website Use
The website www.mindworks-escaperooms.co.uk (the website) is owned and operated by the company.
No third party can modify, copy, distribute, transmit, display, perform, reproduce, publish, license, create derivative works from, transfer or sell any information obtained from the website without the written consent of the company.
The company logo and information on the company website is the property of the company. You are not permitted to use it without a written consent of the company.
The company shall not be liable to any person for any damages arising out of any use of the website.
Covid-19 Additional Terms
The company is always determined to keep our customers and staff as safe as possible. We have carried out various Covid-19 risk assessments during 2020 and 2021 in line with the changing UK government and leisure industry guidance and we introduced additional Covid-19 precautions as required.
Given the current relaxing of restrictions many of the precautions have been removed but we still enable as much fresh air flow as possible between games, provide hand sanitiser gel for customers if they would like to use it and have increased our routine cleaning regime.

What data do we collect?
Personal identification information from users can be collected in a variety of ways, including, but not limited to, when users visit the website, register on the Website, place an order, subscribe to our newsletter, respond to a survey, fill out a form, and in connection with other activities, services, features or resources we make available on the website.
We use a third-party company called Resova to manage our bookings. This company has a good reputation for secure data handling. When you make a booking on our website you will be directed to the Resova website. Their privacy policy is on this website:- https://resova.com/privacy
For payments online we use a merchant service called Stripe. Again, this company has a good reputation for secure data handling. Their privacy policy is on this website:- https://stripe.com/en-gb/privacy
These external two companies ask you for information that they share with us during the booking process. Examples of the information shared are shown below but the list may not be exhaustive:-
• Your name
• Your address
• Your contact phone number
• Your email address
• Who is in your team such as family, friends, colleagues etc
• Age of team members under 18
• Last 4 digits on your card
• Card expiry date
• IP address
We use a third-party website called WIX to host our website and manage our mailing list. This company has a good reputation for secure data handling. We check that the third-party companies we use are up-to-date with current legislation and have the appropriate security certification.
We will collect personal identification information from users only if they voluntarily submit such information to us.
Our escape rooms use CCTV systems to enable us to provide guidance to the teams taking part. Recordings of the games played will normally be deleted within 24 hours of the game played and will only be kept for longer if there is a valid legal reason for keeping them.

When we store information in our own systems, only the people who need it have access. Our directors have access to everything you’ve provided, but individual employees have access to only what they need to do their job.
